How Hibou takes a WhatsApp order

A customer messages the store on WhatsApp. Hibou collects the design or the catalogue choice, then size, quantity, and address. The customer pays from a link in the chat. After payment is confirmed, Hibou syncs the order to the brand's webstore. That store can be WooCommerce, Shopify, or another D2C webstore.

  1. The customer messages the store. The WhatsApp number is the store's. Hibou replies in the thread and keeps that thread going, so the customer does not start from zero on every message.
  2. The order is collected in chat. For a custom product, the customer sends the design. Hibou checks that the file is usable at the chosen size. For a catalogue product, the customer browses in the chat. Size, quantity, and address are confirmed before payment.
  3. The customer pays from the link. Hibou sends a payment link in the thread. On THREADLY that link is Razorpay, PhonePe, or UPI. Card numbers stay with the payment provider.
  4. The paid order is synced after payment. The payment notification arrives first. Hibou then syncs the order to the brand's webstore, such as WooCommerce, Shopify, or another D2C webstore. A second notification for the same payment does not create a second order. A payment with no design and no catalogue cart does not create an order at all, and the team is told.
  5. The customer can track it, or ask for a person. They can ask where the order is. When the store dispatches it, the customer can be told on WhatsApp. If they ask for a person, or if the team replies, the bot goes quiet on that chat.

What the customer never has to do

They do not have to leave WhatsApp to pick a catalogue item, send a design, or pay. They do not have to repeat their size or their name on the next message. If they want a person, they can say so.
