What Hibou does in the chat

Hibou replies on the store's WhatsApp number, takes custom and catalogue orders, sends a payment link, syncs the paid order to the brand's webstore, answers tracking questions, and steps aside when the team replies.

Custom files and catalogue items

The customer sends their own design, or chooses a ready-made item from the catalogue shown in the chat. On THREADLY both paths are in production: a customer PNG for a custom DTF print, or a ready-made design browsed in WhatsApp. India customers on that deployment are not sent to a product page to finish the order.

A custom file is checked before the order continues

Hibou checks the file type and whether the image is large enough for the print size the customer asked for. If it is not, the agent says so and stays on that step. The order does not jump ahead of a file that cannot be printed.

The total comes from the store's prices

When a quote can be calculated, it comes from the store's catalog and pricing rules, including shipping and tax where those rules apply. The language model is told that this total is final. When a quote cannot be calculated, the agent may say a unit price and must not invent a total, a shipping figure, or a discount.

Payment happens before the order exists

The link goes out in the chat. The paid order is synced to the brand's webstore when payment is confirmed. That webstore can be WooCommerce, Shopify, or another D2C webstore. On THREADLY the providers are Razorpay, PhonePe, and UPI, and the store record is WooCommerce.

The customer can ask where it is

Hibou looks up the order for that phone, including website orders tied to the same number, and can share the courier update when a tracking number exists. A dispatch update can also be sent when the store marks the order shipped.

The team can take the chat

The customer can ask for a person. The team can also reply from the console, and that reply pauses the bot. The bot stays quiet while the person has the thread, including on complaints. The team can hand the chat back. The customer can also leave by asking for the menu.

Leads, reorders, and problems on delivered orders

If a customer says they are not ready to order yet, Hibou saves the lead and alerts the owner. Past buyers can receive an approved WhatsApp template about reordering, and they can opt out. A problem on an order the customer has already received can be opened as a ticket the team replies to.

The team sees the thread

The store team has a console for the conversation. They can read what the customer sent, reply as themselves, and add instructions the agent follows for that store. The bot does not talk over a teammate who has stepped in.

One deployment, one store

Hibou runs for one WhatsApp number and one store at a time. A second store is a second deployment, with its own number, catalog, and payment accounts. This site does not offer a shared multi-store login.
